The Medical Assistant (MA) has both clinical responsibilities and administrative responsibilities.
The MA's primary clinical responsibilities include rooming patients, taking vital signs, obtaining and processing laboratory samples in accordance with the scope of practice of their state certification, and ensuring that the rooms are cleaned properly between uses.
Primary administrative responsibilities include working collaboratively with the Clinical Manager (CM) to achieve smooth functionality of the center, overseeing patient admission and discharge processes, preparing network, payer and other reports, reviewing and submitting monthly billing, overseeing payroll, and managing center correspondence. Under the direction of the CM, the MA is also responsible for maintaining medical records and employee health and education files.
All elements of the job are performed in compliance with established policies and procedures and are in accordance with Satellite's ICARE values.
If the MA is working in a Satellite Healthcare center, some of these duties may be delegated to other support staff.
Essential Functions The essential functions listed are not a comprehensive inventory of all duties, tasks, and responsibilities. Employees may also perform other duties as assigned. Employees must abide by all Satellite's standards of patient care, patient's rights and ethical treatment, and adhere to safety and quality programs.
Practices good infection control techniques when delivering patient related care and when handling potentially infectious material
Rooms patients, performs vital signs, weighs, and documents
Cleans patient treatment rooms between patient visits per established infection control practices
Stocks patient treatment rooms and lab area daily
Cleans lab area, biohazard room and storage room
Performs venipunctures as directed per phlebotomy certification
Processes all lab specimens per specifications set forth by WellBound/Satellite or the laboratory
Prepares lab tubes for scheduled blood work and completes all paperwork
Cleans and documents on-site lab equipment daily
Participates in CPR as required
Orients patients and visitors to center
Orders, receives, inventories and maintains center clinical supplies
Assist RN staff to obtain required supplies for patients to perform home therapy
Monitors center equipment and reports discrepancies to CM/Technical department
Performs routine calibration checks of the patients' home centrifuges and coordinates necessary replacements with the lab
Liaisons with the Interdisciplinary Health Care Team on shared responsibilities
Assures accurate and timely completion of management reports such as the Monthly Network Patient Activity Report (NPAR) and payer reports
Reconciliation of quarterly and yearly Network reports
Monitors and maintains documentation of tracking reports as directed by the CM; files administrative reports per policy and procedure
Facilitates the accurate and timely completion of payroll; acts as the liaison with payroll department; trains employees on time management system and payroll policies & procedures
Assists the CM with pre-hire and onboarding processes for new employees
Tracks and maintains employee records; notifies employees of upcoming expiration dates on required documentation; notifies employee and CM when physical examinations are due
Organizes CPR training at the direction of the CM
Maintains center agreement binder
Schedules and coordinates meetings and appointments; prepares meeting materials; takes minutes at meetings as requested
Creates documents, photocopies, faxes, and files as requested
Manages petty cash; generates check requests
Assures that the Clinical Laboratory Improvement Amendments (CLIA) Certificate and business license are current
Provides receptionist duties such as greeting visitors, maintaining the lobby and answering phone calls
Initiates patient billing including entering data into SPIN, filing, reconciling billing reports, and auditing
Identifies and follows-up with the clinical team on billing discrepancies as identified by A/R; communicates with A/R on the status of billing
Submits reports for MDs and/or payer as requested
Inventories, orders, stocks, and maintains front office and kitchen supplies under CM guidance within the center's budget
Actively participates in center's quality improvement program
Responsible for driving the Satellite Healthcare culture through values and customer service standards
Accountable for outstanding customer service to all external and internal customers
Develops and maintains effective relationships through effective and timely communication
Takes initiative and action to respond, resolve and follow up regarding customer service issues with all customers in a timely manner
Medical Record Duties:
Supports the CM as Medical Records Supervisor for the center by: o maintaining current medical records to meet the company and legal standards o participating in Crown Web with documentation/maintenance of the medical records o helping educate employees on changes related to medical records o being responsible for compliance with HIPAA and company standards on privacy
Performs admission for all patients including obtaining medical records, preparing and sending admission paperwork to the appropriate parties, communicating admissions process to patients as directed, and establishing medical record
Performs maintenance of medical records (manual and SPIN) including entering, updating and auditing of data in the patient medical record as directed; maintains required signatures
Responsible for tracking and recordkeeping of hospitalized patients
Performs discharges including preparing discharge paperwork, auditing discharge records and archiving paper records
Minimum Qualifications Any combination of education and experience that would likely provide the required knowledge, skills and abilities as well as possession of any required licenses or certifications is qualifying.
Education: High school diploma, GED or equivalent
Experience: One (1) year experience in a medical office preferred
License/Certification(s): Current Medical Assistant Certification preferred within six months by taking the CMA (AAMA) Certification exam or credentialed as a Registered Medical Assistant (RMA); Phlebotomy Certification preferred within six months per state regulation, unless functioning in a role that does not require phlebotomy; Current CPR certification

Proficient in Windows based applications (i.e. Outlook, Word)
Able to contribute to harmonious and constructive working relationships with all staff members to promote a positive and productive atmosphere
