This position is responsible for secretarial support to the physicians at the Nemours Pensacola Clinic.
Accurately prepare and process travel arrangements, travel requests, expense reports, check requests, license and dues requests for physicians and clinical staff.
Maintain spreadsheets documenting expenditures for physician licenses, dues, subscriptions, books and travel.
Maintain current listing of continuing medical education (CME) credits for physicians.
Apprise physician of mandatory CME criteria for license renewal.
Maintain academic activities database for physicians.
Assist corporate credentialing with obtaining current licensing, professional board, professional organization information, etc.
Prepare applications for professional organizations and hospital re-credentialing.
Transcribe clinic dictation including reports, minutes, speeches, special projects, committee meetings, seminars, grand rounds, etc., and type other correspondence as necessary.
Coordinate legal issues with the corporate risk management office.
Gather medical records, x-rays, etc., for physician review.
Collect fees and schedule depositions, expert witness testimony, etc.
Maintain physician time cards, including accurate data entry in computer system.
Coordinate calendars for physicians. (Maintain communication with clinic staff to assist in coordinating physician calendars.)
Maintain databases for research purposes and assist as requested.
Open and distribute incoming mail.
Prepare and distribute on-call calendars each month.
Provide coverage for other secretaries as needed.
Provide coverage for switchboard operator.
Maintain vendor files.
Make and receive telephone calls and take messages for the physicians.
Refer calls to appropriate individuals.
Demonstrate service-oriented approach when dealing with patients, visitors, and staff.
Arrange for refreshments as necessary for meetings.
Coordinate conference room schedules
Perform other duties as required
Provide secretarial assistance to administrative staff.
Receive, copy and mail-out transcription.
Enter daily patient schedule on physician's Outlook calendar.
Photograph physician candidates and facility functions as necessary.
Assist with coordinating schedules for physician’s recruitment candidates and visiting professionals.
