The Health Information Management (HIM) Health Records Analyst manages patient data within the healthcare facility, ensuring the accuracy, organization, and security of health records. Additionally, this position provides reasonable assurance to the organization that patient care and satisfaction remain a priority within the day-to-day operations. This is achieved by compiling, processing, maintaining, and sustaining medical records of hospital and clinic patients in a manner consistent with medical, administrative, ethical, legal, and regulatory requirements of the healthcare system.
Job Duties
Strong understanding of all health information management (HIM) paper/microfilmed records (all HIM locations). Assists in maintaining, relocating, purging projects, locating lost records etc.
Handles Epic Chart Desk tasks that are outside of normal functions.
References policies/procedure documented in the systems policy repository specific to job role. Guides others to HIM policies/procedures as needed. Identifies areas in policies/procedures that need revised, ensures team is aware of revisions.
Processes health records as applicable (i.e. paper medical record scanning, adoption cases, chart destruction/retention, unidentified patient assignment/merges, date of death processing, medical record assignment, etc.).
Answers phone calls, satisfies requests, and relays messages as associated with the role.
Strong understanding of chart corrections, to appropriately direct callers and assist as needed.
Trains and coordinates training and cross training of Health Record Analyst (HRA) I and II level personnel. Assures training is consistent and complete.
Mentors HRA I and II analyst, performs reviews on their completed work tasks, ensures follow-up related to tasks completed, closing the loop.
Serves as the point of contact for Health Records Analyst (HRA) I and II.
Performs Quality Assurance/Control on records.
Evaluates and assists in remediating health record and process errors.
Identifies opportunities to improve current state workflows, procedures, and cross-functional tasks in an effort to streamline work and increase efficiency and effectiveness.
Evaluates proposed solutions, cultivates a critical thinking environment, actively contributes to discussions and implements appropriate solutions.
Assists with Health Information Management (HIM) projects and duties as assigned.
Assists in testing for releases, patches, problem resolution, new solutions, etc.
Reviews and manages error reports associated with the job duty being performed. Provides resolution.
Responsible for maintaining office supplies, ensuring adequate stock levels. Communicates to Health Records Specialist (HRS) I for ordering.
Evaluates situations and selects the appropriate solutions real time as well as determines the need for addressing situations in a team environment.
Coordinates and leads/facilitates meetings as necessary for the department.
Assists with vendors and external business partners as needed.
Supports department needs by providing statistics when needed by regulatory bodies.
Participates in the planning and coordination of resources across initiatives.
Co-chairs HIM (and related) committees as assigned.
